1. The Society shall be called:
“Halifax Photographic Society”
2. The object of the Society shall be the promotion of
knowledge related to the Science and Art of
Photography in all its branches. This may be by
means of meetings, lectures or any other method the
Executive may think desirable.
3. The Society shall consist of suitably titled officers,
committee members and ordinary members. Junior
members should not have attained the age of 18
before the end of the year in which they join (see 5
below).
4. Each new member shall receive a copy of all club and
competition rules immediately.
5. The affairs of the Society shall be managed by an
Executive consisting of a President, Vice President,
Secretary, Syllabus Secretary, Treasurer,
Competition Sectary and two members elected to
the committee. Five shall form a Quorum.
6. Under the direction of the Executive the Secretary
shall conduct the correspondence and keep records
of all the proceedings of the Society.
7. The treasurer shall keep an account of all monies
received and paid by the Society; produce vouchers
and accounts whenever required to do so by the
Executive; and present an audited statement of
Accounts at the Annual General Meeting.
8. An Annual Meeting of the Society shall take place in
May each year for the purposes of receiving from
the Executive a report of the year’s work and an
Audited Statement of Accounts of the Society; for
the election of Officers and other members of the
Executive; and for election of an Auditor.
9. All members of the Executive shall retire annually
but shall be eligible for re-election. The President
may not hold office for more than two years in
succession. Election will be by nomination and ballot.
Nominations may be made upon a paper provided in
the Society’s room; or by letter, to be received by
the Secretary not less than one week prior to the
day of the Annual Meeting.
10. Meetings of the Society shall be notified by the
current club syllabus.
11. An Extraordinary General Meeting of the Society
may be called at any time by the President or the
Executive; or must be called by the Secretary on
receiving a requisition in writing signed by not less
than one quarter of the membership. Seven days
notice of such a meeting shall be given and the
notice shall state the object for which the meeting
is called.
12. The annual subscription for Ordinary and Junior
members for the ensuing year shall be fixed at the
Annual General Meeting. Subscriptions shall become
due on the 1st day of October in each year. New
members should subscribe by the second month of
their membership.
13. The Executive shall have the power to determine
the any question of the interpretation of these rules
as well as any matter that may arise not provided for
by these rules.
14. No alterations shall be made to any of these rules
unless the proposed alterations are approved by twothirds
of those members present at the Annual or an
Extraordinary General Meeting.
15. The Society shall not be dissolved except at
Extraordinary General Meeting, and by a majority of
three-fourths of those present at such a meeting.
16. In the case of dissolution of the Society any
property remaining after settlement of liabilities
shall be offered for sale and the proceeds thereof
given to a Society with similar aims to this Society.
17. No surplus monies may be employed other than in
strict furtherance of the Society’s aims. No gratuity
or other money grant shall be made to any Officer
or member of the Society; or any dividend or bonus
in money unto or between any of its members.
18. All property, apparatus, furniture, lighting, fittings
or other moveable objects used and owned by the
Society shall be vested in the Executive for the time
being.
General Competition Rules
(Amended May 2010)
1) Photographic image(s) must be the work of the
author and must originate from a camera.
2) Photographic image(s) may be trade processed.
3) Images must NOT bear an authors name.
4) All photographic images submitted must have titles.
5) Digital images must be numbered, have a title and
the authors’ initials e.g. 1_Blue_Moon_TS and be in
TIFF format. (NB. The Yorkshire Photographic Union
rules require digital images to be in TIFF format).
6) Competition entry dates are published annually and
will be announced at meetings. Late entries will NOT
be accepted.
7) All print competition entries MUST be mounted. The
maximum and preferred mount size is 500mm X
400mm. (NB. The Yorkshire Photographic Union rules
require mounts to be this size for entries to their
competitions). For HPS competitions the minimum
print size allowed is 130mm X 180mm on a minimum
mount size of 205mm X 255mm.
8) In Trophy competitions the judge will be asked to
award points to a maximum of 20 per image, to
award an overall winner and may award as many
highly commended and commended as he/she thinks
fitting.
9) In “Photographer of the Year” (POTY) competition
rounds, judges will award points to a maximum of 20
per image. The highest mark of each competitor in
all four rounds of the competition will be added
together. The competitor with the highest total
marks at the end of the year will be declared
“Photographer of the Year” (POTY).
10) Images can be submitted to only one HPS
competition, except that one image used in the POTY
competition of that year may be used in each non
POTY competition (Digital Image Competition and
the Colour and Monochrome Print competitions) of
that year.
11) In all instances, the judges, decision will be final.
12)All Trophies must be returned to the Society upon
request.
13) External exhibitions and external competitions will
NOT be governed by these rules.
14)The primary image must NOT be more than (3) three
years old at the time of entry.
15)All competitions must have a minimum of (3) three
entrants in order to proceed to judging.
16) Competitors are deemed to have accepted and
agreed to be bound by these rules. Entries NOT in
accord with the spirit of the rules may be
disqualified at the discretion of the Competition
Secretary.
17) In the case of monochrome images the HPS have
adopted the FIAP definition of monochrome;
· A black and white image going from very dark
grey (black) to very light grey (white) is a
monochrome work with various shades of grey.
A black and white work toned entirely in a
single colour will remain a monochrome work
able to stand in the black and white
(monochrome) category; such a work can be
reproduced in black and white in a catalogue.
· On the other hand, a black and white image
modified by partial toning or by the addition
of one colour, becomes a colour work
(polychrome) and can be reproduced in colour
in a catalogue.
18) Colour images include all images other than those
listed in rule 17 above including images modified by
partial toning or the addition of a single colour.
19)Digitally projected images should be in TIFF format.
The preferred maximum resolution is 1920 ppi wide
X 1080 ppi high.
20) Copyright of all entries is retained by the author but
entry into HPS competitions will be taken to signify a
willingness to make accepted images available for use
by the HPS in inter club competitions.
Specific Annual Competitions
The Thompson Rose Bowl Trophy
For the best monochrome print. A maximum of three
(3) print entries per author.
The Harnett Trophy
For the best colour print. A maximum of three (3)
print entries per author.
The Fearnley Shield
For the best projected digital image. A maximum of
three (3) entries per author.
The Harry Hosker Trophy
For the best beginner of the year, this will be
awarded to the member who having never won any Society
trophy, achieves the highest aggregate score from their
four highest scores in each of the four rounds of the
Photographer of the Year competition and each of the DPI,
Colour Print and Monochrome Print competitions they
enter. Members who have previously won a Society trophy
or do so in the year in question will not be eligible for this
trophy.
The Herbert Morris Trophy for ‘Photographer of
the Year’ (POTY)
Throughout the year a series of four rounds of this
photographic competition will be held. Prints (colour or
monochrome), will compete with projected digital images in
the same competition. The maximum entry per author in
any one of four rounds will be three (3), which can be all
prints or all digital images or any combination thereof.
Entries will not be eligible for any other competitions,
except that one image may be used in each non POTY
competition that has been used in a POTY competition
round. Two POTY rounds will have set subjects. These will
be announced before the last meeting of the previous
winter programme and published in the next winter
programme. Entries for the set subject rounds must be the
authors interpretation of the set subject but any entry in
dispute will be decided upon by the Competition Secretary.
Judges will be appointed for each round and asked to award
points to a maximum of 20 to each image. The judge may
award as many maximum point scores as he/she thinks fit.
The author with the highest total mark, taking their
highest scores in all four rounds will be declared
Photographer of the Year.
In the event of a tie, this will be resolved by adding
the second best scores in each of the same three rounds
that produced the tie of those authors who are tied. The
highest scoring author resulting from this tie breaker will
be awarded the Herbert Morris Trophy and the accolade
of Photographer of the Year.
