Guidance for outing leads and members.
The plan is that an identified lead for each event will set the final agenda for the outing e.g. times of departure and the meeting point at the venue etc. The lead will pull together a list of those who intend to join a group outing and act as co-ordinator (not provider) for transport arrangements.
It will not be the leads role to phone around members asking who will be attending an event, it will be the member wishing to go on the outing who MUST contact the lead confirming they will wish attend. Having contacted the lead making them aware of their intention to attend an event, should circumstances change before the day of the outing and the member decide not to attend after all, they should inform the lead for the event at least 24 hours before the day of the outing.
The lead for the outing will try to arrange car sharing etc. if this is the proposed method of transport to the venue. Where the outing will be reached on public transport the lead will confirm options on public transport times to and from the venue. This doesn’t imply the lead will be responsible for transport to a venue, merely that co-ordination will be attempted.
In all cases it will be the individual members’ responsibility for travel to and from outing venues not the responsibility of the lead. In the case of an event being cancelled due to bad weather or poor take up it will be the lead’s responsibility to make sure all members expressing an interest in attending the event are notified of a cancellation at least the day before the event.
